About the role

Office Coordinator Centivo is looking for an Office Coordinator to support our downtown Buffalo Office and our Member Care, Finance & Administration, and People Operations teams. This is a part-time (up to 20 hours/week) position with potential to become full-time. Responsibilities Include: Office Assistance Duties: Serve as the primary point of contact for building management, facilities vendors, and the landlord, addressing office needs, maintenance requests, and facility-related concerns. Maintain office efficiency by supporting supply procurement, inventory control, and vendor relationships to ensure a well-equipped, organized workspace. Arrange the purchase of office equipment and maintain accurate property inventory records. Organize office access and amenity logistics, including employee access badges, transit/parking passes, and related administrative programs. Process incoming and outgoing mail, including sorting, weighing packages to determine correct postage, creating labels and dropping off packages, and discarding junk mail. Maintain confidentiality and secure handling procedures for sensitive mail, documents, and shipments. Coordinate logistics for and attend onsite office events, including scheduling, setup/breakdown, vendor or catering coordination, and day-of support. Monitor shredding and secure document Member Care Support Duties: Open and route all incoming mail (general correspondence), such as money orders, receipts, and other high-importance items, promptly to the appropriate parties through electronic or in-person distribution channels. Process all outgoing mail for the Member Care and Claims Operations departments via electronic portal or email. Maintain the incoming mail filing system, routing items older than 30 days to secure shredding. Support other responsibilities as assigned by Member Care leadership. Qualifications: Required Skills and Abilities: 1 year experience working in a corporate or medical office setting Excellent written and verbal communication skills, with the ability to interact effectively with employees across the office and cross-functional stakeholders including Member Care, Finance & Administration, and People Operations Strong attention to detail, with the ability to consistently track, log, and document office needs, activities, inventory, and mail handling processes A proactive, self-directed approach to workable to anticipate needs (such as replenishing supplies before they run out) and manage tasks autonomously without prompting Intermediate proficiency with Microsoft Office (Excel, PowerPoint, Word, Outlook) and ability to navigate SharePoint and OneDrive Work Location: This position is based in our Buffalo office, MondayFriday, with hours flexing between 8:30a 1:00p.
