About the role
Office Administration LeadThe Office Administration Lead is responsible for overseeing daily administrative operations, inventory management, purchasing coordination, and office support functions. This position serves as a key partner to the Operations Manager, helping ensure efficient workflows, accurate inventory control, and effective communication across departments.
Key Responsibilities
Inventory & Purchasing:
Maintain accurate inventory levels for office, laboratory, and operational supplies. Monitor stock usage and identify replenishment needs. Process purchase orders and coordinate vendor relationships. Track deliveries and ensure timely receipt of materials. Conduct routine inventory audits and reconcile discrepancies.
Administrative Operations:
Coordinate daily office operations and administrative activities. Maintain records, reports, and operational documentation. Support scheduling, meetings, and department communications. Assist with policy implementation and process improvements. Ensure office organization and compliance with company procedures.
Operational Support:
Serve as a primary administrative resource for the Operations Manager and Lab. Assist with special projects, reporting, and cross-functional initiatives. Monitor and track operational metrics as assigned. Identify opportunities to improve efficiency and workflow processes. Provide backup support for critical office functions as needed.
Team Coordination:
Support onboarding and training of administrative personnel. Help coordinate workload distribution and task prioritization. Foster effective communication between departments. Act as a point of contact for administrative and inventory-related issues.
Qualifications:
Associate's degree preferred or equivalent work experience. 3+ years of administrative, inventory, purchasing, or office operations experience. Strong organizational and time-management skills. Experience with inventory tracking systems and Microsoft Office Suite. Excellent communication and problem-solving abilities. Ability to manage multiple priorities in a fast-paced environment. Reports directly to the Operations Manager and serves as a key operational support resource for departmental leadership.
