Known for a collaborative culture and strong client relationships, the firm supports senior professionals across legal, lobbying, and business advisory functions.Job Description: Our client is looking to hire an Executive Assistant to join their Washington, DC office. This role provides high-level administrative support to senior leadership, managing scheduling, communications, and confidential materials. The ideal candidate is polished, detail-oriented, and comfortable operating in a fast-paced, high-visibility environment where discretion and professionalism are essential.Key Responsibilities:Oversee busy executive calendars, coordinating and prioritizing meetings, calls, and appointments across internal and external stakeholdersManage full meeting logistics: scheduling, invites, RSVPs, conference room bookings, tech setup, prepared materials, and greeting guestsAct as a key liaison for executives, clients, visitors, and outside contacts (including government offices), representing the firm with discretion and professionalismCompile and review briefing materials to prepare leadership for upcoming meetings and engagementsCoordinate complex domestic and international travel, including flights, lodging, ground transportation, visa needs, and briefing documentsSupport planning and logistics for client visits, high-profile meetings, and special eventsDraft and manage internal and external correspondence on behalf of senior leadersHelp prepare and run recurring client meetings, calls, and presentationsReview and finalize client-facing documents such as proposals and engagement letters for accuracy and timely deliveryMaintain contact databases and distribution lists for leadership and key stakeholdersTrack correspondence and assist with regulatory/compliance reporting requirementsMonitor relevant news, legislative activity, and stakeholder updates using research and monitoring platformsScreen and connect calls, flagging urgent items for leadership attentionPrepare and reconcile expense reports, invoices, and billing paperworkHandle confidential and sensitive information with a high degree of professionalismProvide general office support: filing, document prep, copying/scanning, courier coordination, and other operational tasksJuggle multiple ongoing projects while maintaining strong attention to detail and meeting deadlinesQualifications:3+ years of experience as an Executive Assistant or senior-level Administrative AssistantExperience supporting leadership within a law firm, professional services, or government/public policy environment strongly preferredStrong time management skills with the ability to multitask and prioritize effectivelySharp attention to detail and solid problem-solving abilityExcellent written and verbal communication skillsStrong organizational and planning capabilitiesBachelor's degree is requiredProficiency in MS Office, Outlook, Zoom, and related toolsWillingness to work paid overtime when business needs require itAdditional Details: This is a fully in-office position based in Washington, DC.Perks: Opportunity to support senior leadership at a respected, well-established firm with a collaborative culture and strong growth potential.Addison Group is an Equal Opportunity Employer.
