Position Overview:
The Administrative Assistant will serve as the face of the office, managing front office operations while providing administrative support across multiple departments. This role requires strong organizational skills, excellent communication abilities, and the capability to handle a variety of tasks and projects efficiently.
Key Responsibilities:
Manage daily front office operations
Greet visitors and provide a welcoming experience
Answer and direct incoming phone calls
Process incoming and outgoing mail
Reserve conference rooms for meetings and events
Assist with coordinating company projects and special events
Order and maintain office supplies
Prepare and complete monthly spreadsheets and reports
Manage and track employee gym waivers and wellness program participation on a monthly and quarterly basis
Process and coordinate Fed Ex shipments
Create and manage purchase orders
Set up workstations, desks, and supplies for new hires
Coordinate lunch and catering orders as requested
Support the Human Resources department with applications and administrative tasks
Assist with special projects and other duties as assigned

Qualifications:
High School Diploma or equivalent required
Minimum of 2 years of administrative experience
Proficient in Microsoft Office Suite, including Excel, Word, and Power Point
Strong attention to detail and organizational skills
Quick learner with excellent problem-solving and decision-making abilities
Effective communicator with strong interpersonal skills
Self-motivated and able to work independently
Ability to manage multiple priorities in a fast-paced environment
Flexible and adaptable to changing priorities and business needs
Bilingual in English and Spanish required
