Job Description
Job Purpose: The Receptionist at JOHNS BYRNE CO will serve as the first point of contact for clients, visitors, and employees, ensuring a welcoming and professional atmosphere. This role is pivotal in managing front desk operations, coordinating communication, and providing administrative support to enhance the efficiency and effectiveness of the office environment.
Key Responsibilities: Greet and welcome visitors in a courteous and professional manner, directing them to the appropriate person or department. Answer, screen, and forward incoming phone calls while providing basic information when needed. Maintain the reception area, ensuring it is tidy and presentable with all necessary stationery and material. Manage and distribute incoming and outgoing mail and deliveries. Coordinate and schedule appointments and meetings as required. Assist with administrative tasks such as data entry, filing, and maintaining office supplies inventory. Handle inquiries from the public and clients, both in person and over the phone, providing accurate information and assistance. Collaborate with other departments to ensure smooth and efficient office operations. Uphold company policies and procedures, maintaining confidentiality and security of sensitive information. Perform other related duties as assigned to support the overall business operations.
Qualifications
Required Education: High school diploma or equivalent is required.
Required Experience: Minimum of 1-2 years of experience in a receptionist or administrative role. Experience in a customer-facing position is preferred. Familiarity with office management systems and procedures is advantageous.
Required Skills and Abilities: Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software. Ability to handle a multi-line phone system efficiently. Exceptional customer service skills with a professional demeanor. Attention to detail and problem-solving skills. Ability to work independently and as part of a team. Flexibility to adapt to changing priorities and handle pressure in a fast-paced environment.
