Role Description: The Front Desk Agent role at Horizon Office Services is a full-time remote position responsible for serving as the first point of contact for clients, visitors, and internal teams. Day-to-day tasks include answering and directing phone calls, responding to emails and chat inquiries, and managing appointment scheduling and virtual visitor check-ins. The Front Desk Agent maintains accurate records, updates logs and calendars, and supports basic administrative tasks such as document preparation and data entry. This role also involves coordinating with other departments to resolve client questions, escalating issues when needed, and ensuring that all interactions are handled in a professional, timely, and courteous manner. The position requires consistent availability during designated business hours and comfort working in a structured, service-oriented environment.
Qualifications: Strong customer service orientation, with the ability to handle inquiries, resolve basic issues, and maintain a calm, professional demeanor in all interactions. Excellent communication skills, including clear spoken and written English, active listening, and the ability to convey information accurately and respectfully. Solid organizational and time-management skills, including the ability to prioritize tasks, manage calendars, and handle multiple requests simultaneously. Comfort with remote work tools and office technology, such as phone systems, email, chat platforms, video conferencing, and basic office software (e.g., word processing and spreadsheets).Attention to detail and reliability, with a focus on accurate record-keeping, timely follow-through, and adherence to procedures and privacy standards. Ability to work independently with minimal supervision while collaborating effectively with a distributed team. Previous experience in a front desk, receptionist, administrative assistant, or customer support role is preferred but not required. High school diploma or equivalent required; additional training or education in office administration, business, or related fields is a plus.
