About the Role: We are looking for a polished, organized Executive Assistant to support two senior leaders in a fast-paced and collaborative environment. This person will play an important role in keeping day-to-day priorities organized and ensuring the executives are set up for success. The position is a great fit for someone with 2–5 years of experience who enjoys being the person behind the scenes keeping things moving. Candidates coming from a coordination or administrative background are encouraged to apply, particularly those with experience managing calendars, coordinating meetings, and working with multiple stakeholders.
Responsibilities: Manage complex calendars, including scheduling meetings, resolving conflicts, and helping prioritize competing requests. Coordinate meetings and handle day-to-day scheduling needs. Arrange domestic and international travel and manage related logistics. Serve as a point of contact for internal and external stakeholders. Prepare meeting agendas, materials, and other information as needed. Take meeting notes and help track follow-ups and action items. Assist with presentations, communications, and team updates. Coordinate meetings, events, offsites, and other team activities. Support onboarding and other team initiatives. Assist with special projects and administrative needs as they arise. Help improve processes and find ways to make day-to-day operations more efficient. Handle confidential information with discretion and professionalism.
Qualifications: 2–5 years of professional experience in an Executive Assistant, Administrative Assistant, Coordinator, or similar role. Bachelor's degree required.3.5+ GPAExcellent organizational and time-management skills. Strong attention to detail and ability to manage multiple priorities. Comfortable working in a role that involves frequent coordination and shifting priorities. Strong written and verbal communication skills. Professional, personable, and proactive approach. Comfortable working with senior-level professionals and a variety of stakeholders. Proficiency with Microsoft Office and tools such as Slack and Zoom. Experience in a fast-paced environment is a plus, but industry background is open.
