Weaver is seeking an Advisory Administrative Assistant II to join our collaborative Advisory Administrative Team in Houston or Dallas. This intermediate-level role provides administrative and operational support to Advisory Partners and internal teams while offering the opportunity to build broad knowledge of Advisory services, systems, and processes. The ideal candidate is professional, organized, responsive, and detail-oriented, with the experience and judgment to independently manage recurring processes, anticipate next steps, and balance multiple priorities in a deadline-driven environment. This person should be comfortable learning new systems and processes, following up with stakeholders, identifying incomplete or inconsistent information, escalating issues appropriately, and working collaboratively across the Advisory Admin Team. This position can be 100% in office or hybrid reporting to either our Houston or Dallas office. Expected work hours are 8:00 AM - 5:00 PM. Overtime may be required periodically based on business needs, peak workload periods, and reporting deadlines.
Key Responsibilities:
- Provide day-to-day administrative and operational support to Advisory Partners and internal teams, taking ownership of assigned work through completion
- Prepare, format, proofread, and process correspondence, engagement-related documents, reports, presentations, spreadsheets, and client deliverables
- Support engagement setup and administration, including maintaining accurate client, contact, opportunity, and project information within CRM and other firm systems
- Independently manage recurring administrative and operational requests; gather necessary information; identify incomplete or inconsistent details; track open items; follow up with stakeholders; and escalate issues appropriately
- Coordinate calendars, meetings, conference rooms, virtual meetings, and other scheduling needs while anticipating related next steps and potential conflicts
- Maintain electronic files, spreadsheets, recurring reports, trackers, contact lists, and other administrative records with a high degree of accuracy
- Assist with document routing, signature coordination, and other recurring Advisory workflows
- Coordinate with other firm departments to support routine client, engagement, billing, and administrative needs
- Learn processes across multiple Advisory service lines, provide backup support to other Advisory administrative team members, and actively participate in cross-training
- Prioritize competing assignments and changing needs while maintaining accuracy, responsiveness, sound judgment, and professional service
- Perform other administrative duties and special projects as assigned
- To be successful in this role, the following qualifications are required:
- High school diploma 3+ years of corporate-level administrative, professional services support, or comparable experience
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines
- Excellent written and verbal communication skillsStrong attention to detail and proofreading skillsStrong customer service and interpersonal skills
- Ability to exercise sound judgment, ask appropriate follow-up questions, and identify when an issue should be escalated
- Ability to work independently while contributing effectively within a team-based support environment
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, with the ability to learn new systems and technology
- Experience with CRM, workflow, project administration, document management, scheduling, or similar business systems is preferred
