Job Summary: The Administrative Assistant to the Learning Center Coordinator plays a crucial role in supporting the efficient operation of the school by providing administrative assistance and coordination to the LCC. This position requires strong organizational skills, attention to detail, and the ability to handle confidential information with discretion. The Administrative Assistant will serve as a primary point of contact for internal and external stakeholders, assist in managing the LCC's schedule, and facilitate communication within the school community.
Administrative Support
Assist in managing the LCC's calendar, including scheduling appointments, meetings, and events.
Prepare correspondence, reports, and presentations on behalf of the LCC.
Handle incoming and outgoing communications, including phone calls, emails, and mail in a friendly manner.
Maintain accurate records and files, both physical and electronic, related to the LCC's activities.
Assist in scheduling, conducting, and tracking fire drills.
Assist in medication administration and tracking.
Communication and Liaison
Greet parents/students in a friendly manner.
Set up orientations and parent conferences when needed.
Coordinate communication within the school community, including disseminating information and announcements.
Respond to inquiries and requests for information promptly and professionally.
Office Management
Oversee the day-to-day operation of the LCC's office, ensuring it is well organized and efficient.
Order and maintain office supplies and equipment as needed.
Assist in coordinating office repairs and maintenance as needed.
Event Coordination
Assist in planning and organizing school events, meetings, and special programs.
Coordinate logistics for events, such as venue reservations, catering, and audiovisual equipment.
Confidentiality and Discretion
Handle sensitive and confidential information with the utmost discretion and professionalism.
Maintain confidentiality regarding personnel matters, student records, and other sensitive information
Qualifications
High school diploma or equivalent is required
Must have an IVP fingerprint clearance card.
1 year (preferred) customer service/administrative assistant experience.
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office software.
Excellent communication and interpersonal skills, with an upbeat attitude and ability to interact effectively with diverse stakeholders.
Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.
Ability to maintain confidentiality and exercise discretion in handling sensitive information.
Flexibility and adaptability to changing priorities and work environments.
Bilingual/Spanish-speaking/writing proficiency is a plus.
Working Conditions
The Administrative Assistant will primarily work in an office environment within the school premises.
Occasional evening or weekend work may be required to support school events or meetings.
