About the role
The Sales Administrator provides essential operational support to the sales team, ensuring smooth execution of day‑to‑day activities. This role focuses on administrative coordination, document preparation, invoicing accuracy, and maintaining organized, professional sales materials. The ideal candidate is detail‑oriented, proactive, and comfortable working in a fast‑paced, customer‑focused environment.
Key Responsibilities
Sales Documentation & Presentations
Create, update, and format PowerPoint presentations, sales decks, and proposal materials
Maintain consistent branding, messaging, and visual quality across all sales documents
Support preparation of client‑facing materials for meetings, demos, and events
Invoicing & Order Processing
Prepare and issue customer invoices with accuracy and timeliness
Track invoice status, payments, and follow‑ups
Coordinate with finance to resolve discrepancies or billing questions
Sales Operations Support
Manage and update CRM records, sales logs, and customer information
Assist with quote generation, contract preparation, and documentation workflows
Support reporting activities, including weekly sales summaries and pipeline updates
Administrative Coordination
Schedule meetings, coordinate calendars, and assist with internal communication
Organize digital files, maintain shared folders, and ensure documentation is up to date
Provide general administrative support to sales leadership and account managers
Qualifications
Strong proficiency in Microsoft PowerPoint, Excel, and Word
Experience with invoicing systems or basic accounting workflows
Excellent attention to detail and organizational skills
Strong written and verbal communication abilities
Ability to manage multiple tasks and deadlines with minimal supervision
Prior experience in sales support, administrative roles, or customer service preferred
