Position Summary
The Christian and Missionary Alliance (C&MA) is seeking an Executive Assistant. This is a full-time position located in Reynoldsburg, Ohio. This position works under the direction of the Vice President for Operations and Finance (OF) and is responsible for providing executive- level administrative support within the department In the performance of these duties, this position will support the overall mission of the C&MA as described below.Specific DutiesProvide executive-level administrative support to the Chief Financial Officer/Vice President of Operations and Finance (OF), including calendar management, meeting coordination, correspondence preparation, and travel arrangementsProvide administrative support to the Operations and Finance (OF) team, including purchasing card (PCard) reconciliations, invoice tracking and processing, and coordination of documentation with external partners, such as banking, treasury, and foreign exchange counterpartiesPrepare and assist department leadership with a wide variety of communications, including emails, letters, forms, newsletters, Viva Engage posts, and other communication materials as assignedCoordinate and maintain the OF organizational chart, contact lists, and other departmental resourcesRepresents the OF department on cross-functional teams, committees, and ministry-wide initiativesCollect and compile articles for the monthly Treasurer's Update email, coordinate its distribution with the Development team, and publish content to the organization's blogPost the monthly Financial Dashboard to Viva EngagePrepare and distribute Board reports and President's Cabinet (PC) reportsPartner with the Controller to support the Audit Review Committee (ARC) and coordinate activities with the external auditors, including:Communicating with committee members regarding meetings and conference callsRecording and distributing meeting minutes and preparing correspondence for districts and supporting organizationsCoordinating on-site meetings, including agendas, meeting materials, lodging, transportation, meals, and refreshmentsCoordinate and prepare agendas, board packets, meeting minutes, and follow-up materials for subsidiary board and committee meetings, including Orchard Alliance, Shell Point, Chapel Pointe, and Town and Country ManorSupport the C&MA Operations and Finance Board Committee by planning and coordinating quarterly meetings, preparing board packets and presentation materials, recording meeting minutes, and arranging conference callsAssist in preparing agendas, presentations, and supporting materials for President's Cabinet meetings and budget review sessionsServe as the Human Resources liaison for the Operations and Finance department by supporting the onboarding of new team members and contributing to a positive team culturePlan and coordinate department engagement activities, including monthly Connection Circles, birthday and work anniversary celebrations, and other staff eventsPerform other duties and special projects as assignedThe Christian and Missionary Alliance(The Alliance, the C&MA) was birthed in 1887 from a vision of Pastor A.
