Position Summary:
We are seeking an organized and detail-oriented Housing Program Specialist to support affordable housing portfolio operations, partner communications, compliance activities, and database administration. This position works closely with internal program staff and external partners, including property management companies, owners, and developers. The Specialist will assist with database maintenance, support requests, training coordination, reporting, property and unit setup, compliance documentation, and general administrative functions. The ideal candidate has strong organizational and customer service skills, is comfortable working with databases and Excel, and is interested in developing expertise in affordable housing programs such as LIHTC, HOME, and HTF. Affordable housing training will be provided and required throughout the role.
Key Responsibilities
Database & System Support:
Assist with the implementation of affordable housing software modules, system features, and process improvements.
Log, categorize, track, and follow up on internal and external system support tickets.
Maintain ticket logs, priority trackers, and status reports to ensure outstanding issues are properly documented and addressed.
Perform data entry, data verification, and routine database cleanup.
Assist with property setup, unit creation, and maintenance of portfolio information.
Help identify data discrepancies and coordinate corrections with appropriate team members.
Partner & Customer Support:
Serve as an initial point of contact for property management companies, owners, developers, and other external partners.
Respond to routine questions regarding software functionality, reporting, and program processes.
Escalate complex system or compliance questions to the appropriate team member.
Coordinate webinars, training sessions, meetings, and other partner communications.
Maintain training materials, reference guides, website information, and other partner resources.
Affordable Housing Compliance Support:
Develop a working knowledge of LIHTC, HOME, HTF, and other affordable housing program requirements.
Assist with monthly tenant compliance reporting and other portfolio reporting requirements.
Support annual HUD data submission preparation.
Gather and organize information needed to resolve compliance issues.
Assist with tracking properties subject to non-compliance fees and maintain billing status records.
Coordinate documentation needed for non-compliance billing and reporting.
Administrative & Program Coordination:
Schedule meetings and coordinate calendars and program activities.
Maintain tracking sheets, logs, reports, and program documentation.
Draft routine correspondence and partner communications.
Assist with preparing reports, presentations, and status updates.
Track assignments and deliverables to help ensure deadlines are met.
Proactively communicate project status, outstanding items, and potential issues to management.
Preferred
Qualifications:
Experience in an administrative, program support, compliance, housing, or customer service role.
Experience working within affordable housing, government, public-sector, property management, or a related environment is preferred.
Familiarity with LIHTC, HOME, HTF, HUD, or other affordable housing programs is a plus.
Experience working with databases, compliance systems, CRM platforms, or similar software.
Strong data entry skills with excellent attention to accuracy and detail.
Proficiency with Microsoft Excel, Word, Outlook, and PowerPoint.
Strong written and verbal communication skills. Ability to manage multiple assignments, deadlines, and priorities.
Ability to communicate professionally with internal staff and external partners.
Willingness and ability to learn affordable housing regulations, compliance requirements, and software systems.
