SHR Talent is partnering with a client in Nashville, TN in its search for a Contracts Administrative Assistant. This is a contract opportunity with the potential to transition to a permanent position in 2027.The Contracts Administrative Assistant will support the management and coordination of subcontractor agreements, insurance documentation, and other contract-related requirements. As a newly created position, this role is ideal for a proactive, organized professional who is comfortable working through ambiguity, taking ownership, and helping create structure as the position evolves.
Responsibilities: Coordinate and track subcontractor and contractor agreements from initial distribution through final execution Follow up with subcontractors, contractors, and internal stakeholders to obtain outstanding signatures, documentation, and required information Review and track insurance documentation and contract-related requirements to ensure necessary items are in place before work begins Maintain accurate records of contract status, outstanding items, executed agreements, and related documentation Proactively identify incomplete or missing contract documentation and drive follow-up through resolution Communicate with contractors and subcontractors regarding contract requirements, documentation, and next steps Organize and maintain electronic contract files and administrative records Support the development and improvement of processes for contract tracking and administrative workflows Assist with general administrative responsibilities and special projects as needed Manage multiple priorities and deadlines while maintaining a high level of accuracy and attention to detail Qualifications 2+ years of administrative, contracts administration, project support, or related experience Prior experience working with contracts, agreements, or contract-related documentation required Experience with insurance documentation or insurance-related contract requirements preferred Construction, general contracting, subcontractor, or related industry experience strongly preferred Associate’s or Bachelor’s degree preferred Strong organizational and follow-up skills with the ability to manage multiple deadlines and outstanding items Proactive, self-motivated approach with the ability to work independently and take ownership of responsibilities Comfortable working in a newly created role where processes and procedures may still be developing Strong written and verbal communication skills High attention to detail and ability to maintain accurate, organized documentation If you are an organized, proactive administrative professional with experience supporting contracts and enjoy taking ownership in a fast-moving environment, we invite you to apply.
