We are seeking a proactive Legal Administrative Assistant to join our team. The candidate will be professional, detail-oriented, and empathetic with strong interpersonal skills. This position offers the opportunity to work closely with attorneys, clients, and court personnel while serving as an integral part of our team. Responsibilities: Answer and direct incoming phone calls in a professional and courteous manner
Create a positive and welcoming experience for clients in person and on the phone Scan, organize, file, and maintain client and case records Prepare, e-file, and track court filings Follow up with court personnel regarding filing status and court communications Request and manage hearing recordings, tapes, and transcripts Maintain attorney calendars, including court appearances, deadlines, and meetings Ensure pleading binders, financial statements, and case materials are prepared and updated well in advance of deadlines Build and maintain strong client relationships, exercising patience, empathy, and professionalism when interacting with clients who may be experiencing stressful or emotionally difficult circumstances Monitor attorney calendars to ensure attorneys are prepared for upcoming matters Interface regularly with clients, courts, opposing counsel, and vendors Coordinate with billing management regarding client matters and administrative needs Assist attorneys and staff with administrative and case-related projects as needed
Requirements: 2+ years of legal administrative experience at a civil litigation firm (not including PI, RE, or debt collections) Experience working directly with clients An Associate's or Bachelor's degree Experience with Microsoft Office Suite and Outlook Fast and accurate typing skills, with strong proofreading skills and attention-to-detail Excellent verbal and written communication skills The ability to prioritize competing deadlines and manage multiple responsibilities A proactive mindset with a willingness to ask questions and take initiative The ability to interact empathetically with clients experiencing difficult situations
Bonus Experience: Family law experience
