About the role

Our client, a leading infrastructure investment firm, is looking for a highly organized, proactive Adminstrative Assistant to provide dedicated support to their executive team. This is an excellent opportunity to join a growing firm that invests in critical assets across the energy, transportation, and digital infrastructure sectors.
Key Responsibilities: Manage complex calendars for multiple executives, coordinating meetings across different time zones. Arrange detailed domestic and international travel, including flights, hotels, ground transportation, and itineraries. Prepare and process expense reports using travel and expense management systems. Coordinate internal and external meetings—handling logistics such as room reservations, video conferences, catering, and tech setup. Draft, edit, and format presentations, reports, and correspondence. Manage executive email inboxes and handle correspondence on their behalf. Assist with planning and executing events for clients, investors, and internal teams. Maintain strict confidentiality and handle sensitive information with discretion. Provide backup support for other administrative team members as needed. Take ownership of ad hoc projects and deliver results efficiently.
Qualifications: At least 4 years of administrative experience supporting senior executives, ideally in financial services, investment management, or a professional services environment. Bachelor’s degree preferred. Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel).Familiarity with travel and expense systems such as Concur, Amex Business Travel, or similar platforms. Exceptional organizational skills and attention to detail. Strong written and verbal communication skills. Proven ability to manage multiple priorities and meet deadlines in a fast-paced setting. Resourceful self-starter who anticipates needs and works independently while collaborating across teams. Professional presence and sound judgment when handling confidential matters. Solutions-oriented mindset, with a proactive approach to improving processes. Flexibility to support executives working across global time zones.
