About the role
Include the following, and other duties may be assigned. Performs general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work. Manages all input, up keep and processing of electronic learning libraries. Inputs and updates of social media for recruitment purposes. Prepares agendas and make arrangements for committee, board, and other meetings. Prepares invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software. Composes, types, files, and/or distributes documents and correspondence as directed. Organizes and maintains a central filing and reporting system for workshops, programs, and services offered by Leadership Development. (Network - and/or hard copies) Leaders guide, Power Point Presentations, checklists, materials, copies, manuals, handouts, attendance, schedules, etc.).Maintains the tracking system for training, workshops, classes, meetings, etc., and Leadership Development services to insure program master files exist for each program. This includes creating files, filing correspondence, and other records in a timely and accurate basis. (Leaders Guide, Power Point Presentations, materials, manuals, handouts, etc.). Inputs and maintains accurate information maintaining participants schedule and independent calendar software. (Network - and/or hard copies.)Prepares, orders, and updates supporting collateral information and materials. (Leaders Guide, Power Point Presentations, materials, manuals, handouts, etc.).Maintains electronic and physical inventory for office and customer supplies for Leadership Development and departments being services. Responsible for ordering supplies and customer/participant materials as directed. These functions will include the use of print requisitions, and other supporting processes as deemed necessary. Also responsible for ordering supplies and equipment and scheduling necessary equipment maintenance. Responsible for maintaining program materials as defined within the approved check list and other supporting processes as defined by the Managers and/or Director. Prepare requisition of copy orders in a timely manner. Make copies of correspondence, collateral material for learning and/or other Leadership Development materials as necessary. This function also includes the collation of learning materials in preparation for workshops, training, classes, meetings, etc. Responsible for proofreading, editing, and formatting master documents for all assigned projects. Responsible for scheduling training rooms, ordering, arranging for, communication of, and pick-up of refreshments, scheduling transportation, and other logistics for workshops, training, classes, meetings, events, etc. Maintains a clean work area in the training and conference rooms. After each completed training session, cleans up the training/conference room, and properly stores remaining training materials and refreshments. Responds to all requests for services that come in through the department email within approved time parameters.
