About the role
We are working with a sophisticated, multigenerational family office in NYC on a search for an exceptional Executive Assistant supporting the firm’s President and C-Suite (CFO & CIO). This role is 4 days on-site/1 day remote and based in Midtown Manhattan. This is a broad, high-touch role combining senior executive support, personal/family assistance, investment-pipeline administration, and light office/HR operations.
Responsibilities include:
Proactively manage complex calendars, scheduling, travel and day-to-day executive priorities Coordinate weekly investment pipeline meetings, including agendas, notes/action items, CRM and tracker updates Support office/HR operations including onboarding/offboarding, vendors, internal systems and general office needs Handle personal/family support for the President, approximately 20-30% of the role, including appointments, travel, family commitments, errands and support for his spouse The person:5+ years of senior EA/PA experience preferred Experience supporting a C-Suite executive, founder, UHNW principal or similarly senior leader Financial services or family-office experience helpful, but not required Highly polished, discreet and comfortable interacting with senior executives, UHNW individuals and external business leaders Extremely responsive, organized and proactive Strong EQ and sound judgment Comfortable working with a principal who is highly engaged, has specific preferences and values frequent communication Adaptable and able to pivot easily as priorities evolve Service-oriented and genuinely comfortable with both business and personal responsibilities Excellent follow-through and communication skills Comfortable learning CRM/internal systems and using tools such as ChatGPT and Claude The best fit will be someone who enjoys working closely with senior executives, anticipates needs, communicates well and takes pride in keeping a busy office and principal running seamlessly.
