Role Description:
The Academic Programs Travel Info and Itinerary Management role is a full-time, on-site position located in Nitro, WV. This role is responsible for coordinating travel logistics for academic programs, including booking transportation and accommodations, organizing itineraries, and maintaining accurate travel records for students, faculty, and staff. The position supports academic departments by managing travel-related documentation, ensuring compliance with university policies and budget guidelines, and serving as a point of contact for travel inquiries. Daily tasks include updating schedules, communicating travel details to stakeholders, troubleshooting issues during trips, and collaborating with internal offices and external vendors to ensure smooth travel experiences. The role also involves preparing reports, reconciling travel expenses, and contributing to continuous improvement of travel processes and procedures.
Qualifications:
Demonstrated organizational and planning skills, including experience managing schedules, itineraries, and multiple concurrent projects. Strong administrative and documentation abilities, with attention to detail in recordkeeping, policy compliance, and expense tracking. Effective communication and interpersonal skills to work collaboratively with students, faculty, staff, and external vendors. Proficiency with office productivity tools and platforms (e.g., word processing, spreadsheets, email, calendar systems; travel booking tools a plus).Ability to analyze information, solve problems, and respond quickly to changes in travel plans or program needs. Customer-service orientation and professionalism in representing the university during all travel-related interactions. Experience in higher education, program coordination, or travel management is preferred. Associate or bachelor’s degree in business administration, communications, hospitality, or a related field, or equivalent combination of education and experience.
