Billerica, MA | Professional ServicesOur client, a well-established professional services firm in Billerica, MA, is seeking an organized, polished, and personable Administrative Assistant to support a 5-person senior leadership team.This is a highly visible role for someone who enjoys being the go-to person for keeping an office and team running smoothly. The ideal candidate is professional, detail-oriented, proactive, and comfortable balancing front-desk responsibilities with a variety of administrative and coordination tasks.What You’ll DoServe as the welcoming front-desk presence for the office, greeting clients and visitors and managing incoming calls and correspondenceProvide day-to-day administrative support to the senior leadership teamManage and coordinate calendars, meetings, appointments, and schedulingAssist with travel arrangements, including flights, hotels, transportation, and itinerariesCoordinate internal and external meetings, including conference rooms and meeting materialsHandle general office management responsibilities and ensure the office is organized and well maintainedOrder office supplies and coordinate with vendors and building management as neededPrepare, format, organize, and maintain documents, reports, and correspondenceAssist with expense reports, invoices, and other administrative trackingCoordinate mail, deliveries, shipping, and office communicationsSupport special projects and additional administrative needs as they ariseMaintain a professional, organized, and welcoming environment for both employees and clientsWhat We’re Looking For3+ years of administrative, office coordination, or executive/administrative support experienceStrong organizational skills and exceptional attention to detailProfessional and polished communication styleComfortable interacting with clients, visitors, executives, and colleaguesStrong calendar management and scheduling skillsExperience coordinating business travel is a plusProficiency with Microsoft Office, particularly Outlook, Word, and ExcelAbility to prioritize multiple responsibilities and stay organized in a fast-paced environmentA proactive, “no task is too small” attitudeSomeone who takes ownership, anticipates needs, and enjoys being a key part of a small teamWhy This Role?This is an excellent opportunity for an administrative professional who wants to become an integral part of a collaborative, professional services environment.
