About the role: The Customer Service Operations Coordinator plays a critical role in supporting the Service Department by accurately managing data, administering systems, and providing operational support. This position maintains service records, ensures data integrity across company platforms, processes work orders, and supports reporting, billing, and workflow processes. The ideal candidate has experience in construction, roofing, or the service industry, is highly organized and detail-oriented, and can manage large volumes of information and responsibilities Service Administration Create, update, and maintain service work orders within company software systems. Ensure all customer, property, and service data is accurately maintained in the company and track warranty requests, maintenance agreements, and customer records. Monitor open work orders and help maintain workflow accountability.
Data Entry and System Management: Perform high-volume data entry with a strong focus on accuracy and attention to detail. Maintain and audit customer databases to ensure data consistency and integrity. Assist with implementing, testing, and maintaining the company's software and distribute reports related to service activity, technician productivity, customer contracts, and departmental performance Accounting and Administrative Support Process purchase orders, work orders, and supporting contract administration and renewal tracking. Assist management with data analysis and operational reporting. Provide general administrative support to the Service Department.
Process Improvement: Identify opportunities to improve workflows, reporting accuracy, and operational efficiency. Help document and maintain department procedures and standards. Support training on company software and administrative processes.
Qualifications: Minimum of two years of administrative, operations, or data entry experience. Advanced computer skills with proficiency in cloud-based business software. Strong typing and data entry skills with exceptional attention to detail. Experience working with ERP, CRM, service management, or scheduling software preferred. Strong organizational and time management skills. Ability to manage multiple priorities in a fast-paced environment. Self-motivated and capable of working independently. Strong analytical and problem-solving skills. Construction, roofing, facilities maintenance, or service industry experience preferred. Ability to work full-time (40 hours per week).Availability for overtime hours during the rainy season & business spikes. Must be a team player and perform well under pressure.
