About the Role: Bullion Shark is one of the nation's leading rare coin and precious metals dealers, and we're looking for a highly organized Wholesale Operations Coordinator to support our growing Wholesale Bulk Division. This role is ideal for someone who thrives on organization, enjoys keeping projects moving, and takes pride in ensuring nothing falls through the cracks. You'll serve as the operational backbone for our wholesale sales team, handling the administrative and tracking responsibilities that allow our salespeople to focus on building client relationships. Responsibilities: Provide day-to-day operational support for the wholesale sales team. Maintain and update spreadsheets tracking inventory, submissions, and sales activity. Track coin grading submissions with companies such as NGC and PCGS and monitor their status throughout the grading process. Send follow-up emails to vendors, grading services, and internal team members to ensure submissions remain on schedule. Keep accurate records of incoming and outgoing inventory. Assist with preparing reports and updating sales and inventory data. Coordinate communication between the sales team, operations, and fulfillment departments. Ensure customer files, submission records, and documentation remain accurate and organized. Assist with miscellaneous administrative and operational projects as needed.
Qualifications: Exceptional organizational and time management skills. Strong attention to detail and accuracy. Comfortable working extensively in Microsoft Excel or Google Sheets. Excellent written and verbal communication skills. Ability to prioritize multiple projects in a fast-paced environment. Self-motivated with a proactive, problem-solving mindset. Previous administrative, operations, logistics, or customer support experience is preferred. Experience in the rare coin, collectibles, precious metals, or related industries is a plus, but not required.
