About the role
A small, family-run real estate firm is seeking a Receptionist / Executive Assistant to serve as the warm and professional first point of contact for visitors and callers. This role is ideal for someone who enjoys working in a quiet, close-knit office environment and takes pride in keeping operations running smoothly.
Schedule: 5 days onsite/ Greenwich, Connecticut Monday–Friday, 9:00am–5:00pm
Compensation: up to $85k base
Key Responsibilities:
Greet clients, visitors, and vendors warmly and professionally, creating a positive first impression Answer incoming phone calls, route calls to the appropriate team members, and take accurate messages Respond to general inquiries about the firm and direct questions to the appropriate individuals Manage scheduling and calendar coordination, including arranging meetings, appointments, and conference calls Coordinate calendars and assist with scheduling across multiple team members as needed Maintain a clean, organized, and professional reception area Monitor office supply inventory and place orders as needed Coordinate light office maintenance and service requests, including communicating with vendors and service technicians Ensure common areas are clean, tidy, and well stocked, including the coffee station, printer area, and conference/meeting rooms Assist with tracking project-related costs and expenses Utilize Quick Books to assist with tracking and organizing costs associated with projects Provide general administrative and executive support as needed Help ensure the office operates smoothly and professionally on a day-to-day basis
