About the role
Overview:
This position requires an experienced professional who is detailed, organized, self-sufficient, motivated, dedicated, reliable, and capable of exercising good judgment. The candidate should possess excellent verbal and written communication skills, have the ability to keep up with and complete recurring monthly tasks in a timely manner, and provide all support required by executives to whom the position reports. The candidate should be capable of working well under a heavy workload and sustained pressure.
Duties & Responsibilities:
Aid the Director of Leasing ("DOL") of the Company with any and all requested tasks.
Pre-review of legal documents (e.g. lease documents as requested) and note issues or questions.
Prepare redline of Leases, Issues Lists, and other documents as requested.
Prepare and coordinate with attorneys Lease Abstracts and ensure critical dates are tracked.
Maintain Important Dates in/on calendar/spreadsheet with key development, delivery, for each project by tenant, as applicable.
Prepare and maintain detailed Development Lease Summaries/Rent Rolls. Update each time a Letter of Intent or Lease is signed, or as needed.
Collect and maintain credit information and background checks on all new tenants as individuals and as an entity against the Treasury Department's SDN list.
Create and maintain leasing reports
Track Tenant Exclusives/other key provisions of the lease.
Prepare Lease Execution Checklist to attach to leases for Landlord execution.
Prepare lease routing emails to the Sudberry Team.
Work closely with attorneys and DOL on lease negotiations
Review and route leasing commission invoices with DOL.
Provide due diligence to tenants as needed
Ensure compliance with lease terms and conditions.
Communicate with tenants regarding lease-related matters
Assist with leasing document preparation for construction loans
Support Project Management team with Leasing information for loan closings.
Coordinate with tenant, preparation and negotiation of SNDA's with counsels (Lender's, Tenant's and Internal) and delivery of executed documents to Lender
Obtain and provide current leasing materials as needed to DOL, President, and brokers for ICSC conferences.
Review and prepare Non-Disclosure Agreements with DOL and COO.
Prepare Exclusive Authorizations to Represent (broker listing agreement) and renewals with DOL.
Update, maintain, secure and organize electronic leasing files and related files for easy access/retrieval of documents
Other Knowledge and Skills: Fluent Word and Excel (required)
PDF editing & Claude AI familiarity (a plus but not a requirement)
Notary (a plus but not a requirement)
