Job Description: Audubon is seeking a Business Development Admin to provide administrative and coordination support to the Business Development team. This position will help the team stay organized and responsive by coordinating travel and meetings, supporting presentations and sales tracking, preparing expense reports, documenting meetings and action items, and assisting with recurring reporting on opportunities and business development activities.
PRIMARY RESPONSIBILITIES: Prepare, organize, and submit expense reports and related documentation in accordance with company procedures. Coordinate domestic and occasional international travel arrangements, including transportation, lodging, itineraries, and related logistics. Schedule, book, and coordinate internal and external meetings, presentations, and business development events. Prepare meeting agendas, take notes, document decisions, and track action items through completion. Assist with the preparation, formatting, and coordination of presentations, reports, and other business development materials. Maintain sales, prospect, and opportunity tracking information and support the accuracy and organization of related records. Generate and distribute weekly or monthly reports regarding opportunities, business development activities, and other team metrics. Provide general administrative support to Business Development leaders and team members, including correspondence, document preparation, file organization, and follow-up communications. Maintain confidentiality regarding sensitive client, prospect, financial, and company information. Works closely with the Proposals teams to support CRM reporting, coordination, and the timely exchange of information. Coordinate with internal departments, vendors, clients, and other external contacts as needed to support business development activities. Provide support for visiting clients and business development meetings. Identify opportunities to improve administrative processes, organization, and efficiency. Additional duties as assigned. This includes: Performing duties in a manner that protects personal and team health and safety Participating in required HSE training, meetings, and reporting activities Identifying and reporting hazards, near misses, and unsafe conditions Following safe work practices and complying with applicable regulatory requirementsEXPERIENCE AND SKILL REQUIREMENTS:3+ years of experience providing administrative, executive assistant, sales support, or business development support. High school diploma or equivalent (GED); additional education or relevant training preferred. Experience coordinating travel, meetings, expense reports, presentations, or similar administrative activities. Strong organizational and planning skills with the ability to manage multiple priorities and deadlines. Strong written and verbal communication skills and professional interpersonal judgment. Ability to take clear meeting notes, track action items, and follow through with stakeholders. Information gathering, information monitoring, and report preparation skills. Judgment and decision-making ability, including the ability to handle confidential information appropriately. Dependability, attention to detail, accuracy, and ability to prioritize multiple tasks. Demonstrates a high level of professionalism in workplace interactions with other employees, clients and external stakeholders. Ability to work effectively with a variety of personalities and support a collaborative team environment.
