About the role:
Krasan is seeking an organized, proactive Marketing and Events Coordinator to support our broader marketing efforts, bring our events to life, and strengthen our culture, employee engagement, and external visibility. You will coordinate conferences, webinars, online and hybrid events, client and prospect events, company gatherings, professional networking opportunities, social events, and employee engagement initiatives. Working with Marketing, Client Engagement, Human Resources, the Krasan Social Committee, and the Executive Leadership Team, you will turn ideas into well-planned, engaging experiences. This is a hands-on role with ownership of calendars, invitations, promotional materials, agendas, vendors, hosting, and follow-up. You will contribute ideas that connect employees and expand Krasan’s reach, anticipate needs, communicate early and often, and step in when priorities change. Event planning and execution Coordinate events from initial planning through execution and follow-up, including conferences, webinars, online and hybrid events, company meetings, social gatherings, and leadership-sponsored activities. Maintain a shared events calendar aligned with marketing priorities, stakeholder needs, available resources, and promotional deadlines. Work with event sponsors to establish objectives, target audiences, budgets, and measures of success. Create event plans, agendas, checklists, and day-of schedules with clear task owners, dependencies, and deadlines. Coordinate venues, vendors, catering, registration, signage, equipment, shipping, and other logistics; order and manage branded merchandise, giveaways, and supplies. Prepare speakers, hosts, and participants with briefing materials, assignments, and rehearsals. Configure webinar platforms and test audio, video, screen sharing, and attendee access; prepare backup plans.
Key responsibilities:
Company culture and employee engagement Partner with Human Resources and the Krasan Social Committee to plan activities that strengthen employee connection, participation, and a sense of belonging. Coordinate company celebrations, recognition activities, social events, team gatherings, and other employee engagement initiatives. Engage with the Executive Leadership Team to coordinate leadership-sponsored events, aligning on objectives, agendas, communications, and execution. Suggest creative, practical ways to bring Krasan’s culture to life through events, storytelling, and shared experiences. Encourage participation across teams and locations, including Springfield and remote employees where applicable. Gather feedback to improve activities and broaden participation. Marketing and brand support Support broader marketing initiatives that increase awareness of Krasan and communicate its capabilities, people, and culture. Create and coordinate invitations, presentations, agendas, handouts, signage, and other marketing and event materials. Help maintain a marketing content calendar aligned with company priorities, events, and engagement initiatives. Draft and coordinate social media posts, event promotions, employee highlights, and recaps. Capture photos and stories with appropriate permissions and approvals. Maintain consistent branding, accurate messaging, and an organized library of reusable assets. Coordinate reviews so content and materials are ready ahead of deadlines. Attendance outreach and participation Coordinate invitations, promotions, registrations, access links, and reminders for in-person events, webinars, and online events. Partner with Client Engagement on client and prospect outreach, with Human Resources and the Social Committee on employee participation, and with leadership on sponsored events. Monitor registrations, identify participation gaps early, and recommend additional outreach or adjustments. Coordinate stakeholder outreach with clear owners and deadlines. Ensure attendees receive the information they need before, during, and after an event. Hosting and event delivery Host in-person and online events professionally. Welcome attendees, facilitate introductions, support speakers, and keep sessions on schedule; moderate webinar chat, questions, and polls. Coordinate setup, registration, vendors, staffing, and breakdown. Manage virtual room access and troubleshoot attendee or platform issues; arrange technical support as needed. Accountability and qualifications Communication follow up and improvement Keep stakeholders informed of progress, deadlines, responsibilities, decisions needed, and potential risks. Follow up consistently and escalate issues early. Track budgets and expenses, coordinate invoices, and follow internal approval processes. Track attendance, online engagement, feedback, and outcomes. Share approved recordings and materials; coordinate follow-up and hand off contacts and actions to the appropriate teams. Conduct brief post-event reviews and apply lessons learned to future efforts.
Qualifications:
2–4 years of experience in marketing coordination, event planning, employee engagement, communications, or a related role, including projects with multiple stakeholders and deadlines. Strong organization, attention to detail, follow-through, and written and verbal communication skills. Confidence following up with colleagues and engaging with senior leaders. Ability to manage competing priorities, respond to changing needs, and remain composed under pressure. A welcoming, professional presence and comfort hosting events for employees, clients, prospects, and partners; an interest in strengthening culture and engaging people. Ability to create polished materials using Canva, Power Point, or similar tools; familiarity with social media, email, registration tools, shared calendars, and webinar platforms such as Teams or Zoom. A degree in marketing, communications, business, or a related field—or equivalent relevant experience. Availability for occasional evening or weekend events and periodic overnight travel, including to Springfield, Illinois, to support Krasan’s office and substantial employee presence there. Travel may include company events, employee engagement activities, and leadership-sponsored gatherings.
Preferred experience:
B2B marketing; conferences, webinars, online events, workshops, or hackathons; internal communications; and employee engagement.
