This is an on-site role in downtown Reno, NV and local applicants will be given preference.Position SummaryThe Office Administrator is the organizational backbone of the front office, providing a welcoming first point of contact for visitors and callers while supporting the accounting and customer service functions behind the scenes. This role requires someone who is highly organized, detail-oriented, and comfortable juggling multiple ongoing responsibilities without letting anything fall through the cracks.ResponsibilitiesReception & Front OfficeGreet visitors, homebuyers, and trade partners in a warm, professional mannerMaintain a tidy, organized, and welcoming front office/reception areaAccounting AdministrationReceive, sort, and process incoming invoices; route for approval and codingAssist with data entry and recordkeeping to support Accounts PayableMaintain organized digital and physical filing of accounting documentsSupport the accounting team with light administrative tasks as neededCustomer Service AdministrationEnter, track, and update homeowner work orders in the systemMake confirmation calls to homeowners for scheduled appointments and service visitsCoordinate scheduling between homeowners, trade partners, and the Customer Service ManagerMaintain accurate, up-to-date records of service requests and follow-upsCommunicate professionally with homeowners regarding scheduling and status updatesQualifications2+ years experience in Office Administration is preferred.Exceptionally organized, with strong attention to detail and follow-throughExcellent verbal and written communication skillsStrong interpersonal skills and a professional, customer-focused demeanorAbility to manage multiple priorities and deadlines simultaneouslyProficient in Outlook and Excel, with a willingness and ability to learn NewstarPrior reception, administrative, or customer service experience preferredComfortable working in a fast-paced office environment with frequent interruptions
