Office ManagerThis position requires prior accounting, bookkeeping, or office management experience. Applicants with strong QuickBooks and Excel experience will excel quickly in this role.At All-Star Automotive, we fix cars and outdated expectations. While this role includes administrative responsibilities, the day-to-day focus is heavily centered on accounting, bookkeeping, vendor management, reporting, and financial organization.What You'll DoAs our Office Manager, you'll serve as the backbone of our financial and administrative systems. Success in this role comes from attention to detail, strong accounting habits, and the ability to keep information organized and accurate.This is primarily an accounting-focused position.Accounting & Financial CoordinationReview and reconcile statements from 15+ active vendorsProcess invoices and monitor account balancesMaintain accurate QuickBooks records and entriesTrack expenses, margins, and purchasing activityAssist with account reconciliations and financial reportingOrganize vendor payments and ACH transactionsIdentify discrepancies and assist with resolutionMaintain accurate financial documentation and recordsReporting & Data ManagementUtilize Excel daily for reporting, tracking, and reconciliationMaintain spreadsheets and internal scorecardsOrganize purchasing, labor, and financial dataAssist leadership with reporting needs and business metricsHR & Payroll SupportSupport payroll review and timecard audits through PaycorMaintain employee documentation and personnel filesAssist with onboarding paperwork and compliance trackingAdministrative SupportMaintain operational records and documentationSupport leadership with scheduling and organizationAssist with vendor communication and licensing recordsHelp maintain internal processes and systemsWho You AreHighly organized and detail-orientedStrong accounting or bookkeeping backgroundComfortable spending most of your day in QuickBooks and ExcelExperienced reconciling accounts and reviewing financial recordsAble to spot discrepancies and solve problems independentlyProcess-minded and dependableProfessional, accurate, and confidentialInterested in supporting a growing businessPreferred ExperienceQuickBooks experienceExcel proficiencyBookkeeping or accounting support experienceOffice management experiencePayroll or HR support experienceSmall business accounting experienceCompensation & Perks$15.00 - $20.00 hourly based on experienceApproximately 25 hours per weekMonday-Friday scheduleNo weekendsPaid Sick LeaveEducation (Financial) benefits/perksEmployee discountsTeam events and company activitiesGrowth opportunities within a growing organizationSound Like You?If you're the type of person who enjoys balancing accounts, reconciling statements, organizing spreadsheets, and keeping financial records accurate, we'd love to meet you.
