About the role

We are looking for an Executive Assistant II to join the Public Policy team of a Fortune 100 company. This is a hybrid position based in the Arlington, VA / Washington, DC area, with some days required onsite. This team operates at the intersection of business and government, engaging with local and federal officials, advocating for legislation, and navigating high-profile, newsworthy policy matters across the U.S., Latin America, and Canada. You will provide comprehensive administrative and operational support to multiple Directors who are deeply engaged with senior government officials, lobbyists, and internal leadership.
Responsibilities: Manage complex, high-volume calendars for multiple Directors, including scheduling calls, meetings, and events with internal and external stakeholders at all levels Coordinate and book domestic and international travel arrangements for supported executives Prepare, submit, and reconcile expense reports accurately and in a timely manner Process purchase orders, manage billing support, and serve as a point of contact for outside vendors Plan and coordinate internal team events such as happy hours, coffee chats, and departmental gatherings Monitor and track action items, deadlines, and deliverables on behalf of Directors, following up as needed to ensure timely execution Draft, proofread, and manage written communications with a high degree of clarity and professionalism Assist in preparing briefing materials and policy research reports Leverage AI tools and emerging technologies to drive efficiency across administrative workflows Handle confidential and sensitive information with the utmost integrity and discretion Act as a liaison between Directors and internal or external partners, ensuring appropriate prioritization and responsiveness Skills Exceptional organizational skills with the ability to manage multiple priorities simultaneously and with minimal guidance Strong verbal and written communication skills, with the ability to interact confidently with senior leaders and government officials Proficiency in Microsoft Outlook for calendar management and scheduling Solid working knowledge of the Microsoft Office suite Experience with expense reconciliation tools and reporting processes Familiarity with purchase orders, billing processes, and vendor coordination High degree of professionalism, integrity, and discretion when handling sensitive or confidential information Comfort and confidence working alongside and communicating with high-level executives and government stakeholders Adaptability and willingness to shift priorities quickly as needs evolve Interest in or familiarity with political science, public policy, or government affairs Openness to adopting AI-powered tools to improve productivity and workflow efficiency Experience 2+ years of experience as an Executive Assistant or Administrative Assistant supporting high-level executives such as Directors, Vice Presidents, or C-suite leaders Demonstrated experience managing complex calendars and scheduling across multiple stakeholders Proven track record of booking and coordinating executive travel Experience preparing and reconciling expense reports Background in vendor engagement, purchase orders, or billing support preferred Prior experience conducting policy research or preparing briefing documents is a strong plus
Qualifications: Bachelor's degree preferred
