Job Description: Insight Global is seeking a reliable, detail-oriented Office Manager to oversee day-to-day operations of our govtech client's New York City office. This on-site role requires 4 hours each weekday and is responsible for maintaining a well-stocked, organized, and fully functional workplace, including kitchen and supply management, package handling, vendor coordination, and event readiness. Hours for this role will be 8 am - 12 pm, Monday-Friday. This is a 3-month contract that may become a permanent position.
Required Skills & Experience: Prior experience in office management, administration, hospitality, or facilities- Highly organized and self-directed, with the ability to anticipate needs proactively- Proficiency with Slack or MS Teams (Slack preferred), Google Workspace, and online procurement - Dependable, with consistent on-site availability during scheduled hours- Ability to lift up to 25 pounds (catering deliveries, supply orders)
Responsibilities Include: Events and Team
  • Prepare the office for events and visitors, including setup, catering, AV, and materials, and restore the space afterward
  • Coordinate team lunches, celebrations, and team-building events
  • Support new-hire onboarding by preparing workstations, arranging building access, and assembling welcome materials Kitchen and Supplies
  • Maintain inventory of kitchen and office supplies, including beverages, snacks, and coffee, and reorder proactively based on usage
  • Procure additional items as requested by the team, manage spend against a monthly budget, and reconcile receipts on the company card
  • Prepare and maintain coffee service throughout the day Packages and Mail
  • Receive, log, and distribute incoming packages and mail
  • Coordinate outgoing shipments, including FedEx and UPS pickups and returns Office Upkeep
  • Maintain clean, organized, and fully prepared common areas, kitchen, and meeting rooms
  • Manage office vendors, including supplies, cleaning, and maintenance
  • Serve as the primary liaison with building management on access and maintenance requests
  • Ensure the office complies with health and safety standards and emergency procedures
  • Monitor office technology (conference room displays, printer paper and toner), escalate issues to IT, and coordinate equipment drop-offs and pickups
  • Maintain office records, including an equipment inventory (monitors, chairs, docks) and an office guide covering Wi-Fi access, guest policy, building rules, and vendor contacts
  • Identify and recommend improvements to the office environment based on team feedback
  • Support ad hoc administrative and operational requests as needed
