Human Resource ReceptionistReports To: Plant HR ManagerLocation: Fairfield, Ohio / West Chester, OhioPosition Type: Full TimeShift: 1st shiftClassification: Non-ExemptSchedule: 7:30AM 4:30PM (OT and weekends, as required)*May vary, depending on business needsRequired QualificationsMinimum High School Diploma and/or college degree a plus.1-2 years of administrative experience is required.Intermediate Computer, Microsoft Office, and Outlook skills.Desired QualificationsFriendly with high energy and willingness to go above and beyond.Excellent communication, customer service, and problem-solving skills, including the ability to maintain composure under stress.Strong organizational and prioritization skills.Must be a team player with a strong sense of commitment to the customer and team members.Detail Oriented.Proficiency in Microsoft Office Suite (Word, Excel, Outlook).Comfortable working in a fast-paced environment.Bi-lingual English/Spanish speaking is a plus.ResponsibilitiesGreet all visitors with a friendly, high energy, professional demeaner, while ensuring proper guest protocols are achieved (Sign in, GMP (Good Manufacturing Practices) policy signatures, NDA's, refreshments, etc.).Helps with clerical/office tasks, such as scheduling appointments, maintaining records, distributing mail, copies, answering phones, ordering/maintaining supplies, maintaining reception cleanliness, etc.Accept mail and deliveries and route to appropriate recipient.Manages the conference room meeting schedules and supports meeting leaders with breakfast/lunch/snack coordination as needed.Prioritize visitors from any regulatory agency including but not limited to USDA/FDA Inspectors, OSHA Inspectors, Local Authorities, other governmental agencies.Maintain a neat, welcoming & organized office environment.Answer all incoming calls according to all company policies with exceptional telephone skills.Direct phone calls to the appropriate parties as necessary.Take written/email messages for occupied personnel and notify them as soon as possible regarding pending messages.Coordinates questions and issues with the appropriate department team members.Addresses customer concerns and issues or escalates them as needed.Support the office staff with coordinating Iron Mountain document retention retrievals/send-offs.Manage office supply inventory.Manage Latitude SWAG inventory.Maintain confidentiality of company and customer information at all times.Assist with event planning and coordination.Provide administrative support (invoice and credit card reconciliation to the VP of Engineering/Plant Manager) to various departments as needed.Performs other HR duties as assigned (Filing, ordering, maintaining office supplies, etc.).Physical Requirements/ EnvironmentWhile performing the duties of this job, the team member is regularly required to talk and listen.The team member is frequently required to stand, walk, sit, and use their hands and fingers to handle or feel and reach with hands and arms.The team member must occasionally lift and/or move up to 25 pounds.Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Equal Opportunity Employer This employer is required to notify all applicants of their rights pursuant to federal employment laws.
