The company has offices across North America, Europe, and the UAE.Position OverviewZenaTech is seeking an experienced, highly organized, and client-focused Office Manager to lead the administrative operations of our growing land surveying office in Mesa, Arizona. This role oversees office functions, client relations, project support, document control, team coordination, and day-to-day operational management.Key ResponsibilitiesOffice Operations & AdministrationOversee daily office operations and administrative workflowsSupervise administrative and support staffImplement and maintain office procedures, coordinate resources, and uphold a professional office environmentClient & Office CommunicationsServe as the primary administrative point of contact for clients, vendors, agencies, and business partnersManage incoming calls and inquiries, and coordinate visitor managementEnsure a consistently high standard of customer serviceProject & Operational SupportSupport Project Managers with scheduling and administrative needsCoordinate field crew schedules and project trackingPrepare project documentation and assist with permitting processesRecords Management & Document ControlMaintain digital and physical records, including contracts, proposals, and project filesAdminister document retention systems in line with company policyFinancial & Business AdministrationSupport budgeting, invoicing, accounts payable, and accounts receivableCoordinate payroll processing and reportingManage vendor relationships, supplies, and office resourcesStaff SupportAssist with recruiting, onboarding, and training of office staffSupport HR functions and ensure compliance with office procedures and company policySurveying Industry Support (Preferred)Support title review administration and FEMA Elevation Certificate trackingFacilitate communication between office staff and field crewsQualificationsMinimum 3 years of office management or senior administrative experienceExperience supervising administrative personnelProficiency in Microsoft Word, Excel, Outlook, and Adobe AcrobatExcellent communication, customer service, and organizational skillsStrong attention to detail and ability to manage multiple prioritiesAbility to work effectively in a fast-paced professional environmentPrior experience in land surveying, engineering, or a related professional services office is an asset.
