Van Valer Law Firm, LLP is a growing, dynamic law firm with 6 attorneys and 5 dedicated support staff. We are seeking a highly organized and detail-oriented Business Manager to oversee our daily business operations. This is a hands-on, multi-faceted role combining financial management, human resources, office operations, and billing administration. The ideal candidate has experience in a legal or professional services environment and enjoys building efficient processes in a small-team setting. Key Responsibilities of the position include: Legal Billing Administration: Oversee the monthly client billing process, including generating pre-bills, processing finalized invoices, and distributing them to clients. Trust Accounting: Handle trust account (IOLTA) deposits, disbursements, and monthly reconciliations in compliance with state bar rules. Financial Reporting: Assist the firm’s external CPA with tax preparation, coordinate payroll, and generate monthly profit/loss reports for the partners. Accounts Receivable: Process and manage client payments and follow up on delinquent accounts. Accounts Receivable: Process vendor payments and firm expenses. Human Resources: Recruit, hire, onboard & train new staff, process payroll, administer firm benefits, and oversee compliance with the firm’s employee handbook and office policies. Vendor Management: Primary point of contact for external vendors, including IT support, building management, insurance brokers, and office supply vendors. Legal Technology: Maintain and optimize the firm’s practice management software, Clio, and Clio Payments. Facilities Management: Ensure the physical office runs smoothly, maintaining supply inventories and coordinating equipment maintenance. Financial Literacy: Strong understanding of basic accounting principles, and experience with Quick Books is a must. Information Technology: Proficiency with law practice management software, Quick Books, and Microsoft Office products. Marketing: Coordinate and oversee marketing initiatives, advertising efforts, website content, client communications and community involvement. Leadership & Communication: Outstanding interpersonal skills with the ability to lead a small staff and communicate effectively with partners and clients. Discretion: Ability to handle highly confidential financial, client, and personnel data. A valid driver's license with the ability to travel locally as needed for business purposes and strong English verbal and written communication skills are required for this role. The ideal candidate has 3+ years of experience in business management, law firm administration, or legal office management. Compensation is commensurate with experience.
