Description:
As a Field Office Coordinator at Fisk Electric, you will provide and coordinate administrative and payroll support for field operations while maintaining confidentiality and following company policies. You will work closely with project teams, jobsite contacts, and Corporate Payroll to keep records, communications, and office activities accurate and organized.
Responsibilities:
Provide accurate and timely administrative and word-processing support for contracts, correspondence, transmittals, memoranda, special reports, closeout documents, and other project materials while maintaining confidentiality.
Coordinate job-site payroll activities; review, enter, audit, and verify attendance, hours, job coding, and payroll records; and serve as the primary liaison between field operations and Corporate Payroll.
Work with Superintendents, Foremen, and Project Managers to obtain missing information, resolve discrepancies, and ensure accurate, timely weekly payroll submissions.
Review and process applicable project costs for monthly billing and assist with purchase-order pricing in coordination with Project Managers.
Establish and maintain filing systems that support accurate identification, retrieval, and distribution of documents to Operations, jobsites, and Accounting.
Maintain field-office services and supplies, process expense reports, requisitions, personnel forms, and budget items, and provide backup office support as needed.
Serve as a liaison among executives, departments, clients, and external contacts by coordinating meetings and work activities, resolving administrative issues, and completing additional assignments as directed.
Requirements:
High school diploma or equivalent required
At least two years of secretarial or administrative experience, including research responsibilities; construction-industry experience is preferred.
Working knowledge of business procedures, standard letter and report formats, and basic arithmetic.
Proficiency with computer systems, word-processing software, and spreadsheet applications.
Strong organization, communication, confidentiality, problem-solving, and time-management skills.
Ability to work with frequent interruptions, meet deadlines, accept direction, and maintain effective working relationships.
Valid driver's license and ability to travel occasionally as needed.
