Role Description: The Production Coordinator (Apparel) is a full-time, on-site role based in the New York City Metropolitan Area. This role supports the apparel production process from development through final delivery, including tracking timelines, managing purchase orders, and coordinating with vendors and internal teams. The Production Coordinator will monitor sample progress, maintain production calendars, and ensure all styles meet quality, cost, and delivery requirements. Daily responsibilities include updating production reports, organizing documentation and tech packs, preparing shipping instructions, and resolving issues related to materials, trims, and production schedules. The role also involves collaborating with design, merchandising, and logistics teams to keep projects on schedule and aligned with brand standards.
Qualifications: Strong communication skills, including clear verbal and written communication and effective cross-functional collaboration. Experience in production planning and production management within apparel or related industries. Project management skills, including timeline tracking, prioritization, and coordination of multiple concurrent styles or programs. Excellent organization skills, with attention to detail in documentation, data entry, and sample and inventory tracking. Prior experience in apparel production, sourcing, or product development is highly beneficial. Proficiency with production-related software, spreadsheets (e.g., Excel), and basic data analysis tools. Ability to work on-site in the New York City Metropolitan Area and manage deadlines in a fast-paced environment. Relevant education such as a degree or diploma in Fashion, Production Management, Business, or a related field, is preferred.
Responsibilities: Coordinate daily with design, sales, and overseas factories on production status, approvals, and deadlines. Create and maintain purchase orders. Maintain weekly time and action (T&A) calendars and work in progress (WIP) reports, tracking milestones and addressing potential delays. Request, track, and follow up on prototype, photo, fit, pre-production (PP), and top of production (TOP) samples. Measure fit, PP, and TOP samples against specifications. Prepare and send sample and material submissions to buyers for approval; follow up on feedback and communicate comments to the appropriate teams. Manage approvals for fabrics, lab dips, trims, labels, hangtags, and other accessories. Maintain an organized reference library of development materials and approved production submissions. Coordinate fabric and sample testing, track results, and follow up on outstanding issues. Track delivery schedules with overseas factories and communicate shipment delays, overages, and shortages to the sales team. Support production planning and budgeting.
