This position offers the chance to work in a fast-paced, dynamic environment that's constantly evolving.Position Purpose The Backup Administrative Coordinator provides support for the store's administrative and operational functions by assisting with payroll, scheduling, hiring processes, reporting, recordkeeping, and communication activities. This position serves as a backup to the Administrative Coordinator and helps ensure accurate, timely, and efficient execution of administrative responsibilities while supporting store leadership and associates.Key ResponsibilitiesAdministrative OperationsProvide administrative support to store leadership and department teams.Assist with employee file maintenance, documentation, and record retention.Prepare, organize, and maintain reports, schedules, and store communications.Ensure administrative tasks are completed accurately and within required timeframes.Maintain confidentiality of employee, payroll, and business information.Support office organization and supply management.Payroll and Scheduling SupportAssist with payroll processing and timekeeping administration.Review timecards and identify discrepancies for correction.Support scheduling processes and workforce management activities.Maintain attendance and scheduling records as required.Assist employees with payroll and scheduling questions.Hiring and OnboardingSupport recruitment and hiring activities.Assist with interview scheduling and candidate communications.Facilitate onboarding processes for new hires.Ensure completion and accuracy of required employment documentation.Assist with orientation and training administration.Communication and RecordkeepingPrepare and distribute store communications, notices, and reports.Maintain personnel, training, and compliance records.Support leadership with data entry and reporting requirements.Ensure documentation is accurate, organized, and accessible.Assist with special projects and administrative initiatives.Compliance and Operational SupportEnsure compliance with company policies, labor requirements, and recordkeeping standards.Support audit preparation and documentation requests.Assist with maintaining workplace safety, training, and compliance records.Identify administrative issues and communicate concerns to store leadership.Support operational goals through effective administrative execution.QualificationsHigh school diploma or equivalent required.Previous administrative, office, retail, or customer service experience preferred.Experience with payroll, scheduling, hiring, or workforce management systems preferred.Strong organizational, communication, and multitasking skills.Proficiency with Microsoft Office and related computer applications.Ability to handle confidential information with discretion and professionalism.Physical RequirementsAbility to sit, stand, walk, bend, and reach throughout the workday.Ability to lift and move items weighing up to 25 pounds.Ability to use computers, printers, telephones, and other office equipment.Ability to perform repetitive keyboarding and data entry tasks.Work EnvironmentRetail grocery store and office environment.Frequent interaction with employees, applicants, and management.Fast-paced environment requiring strong attention to detail and accuracy.Flexible schedule including occasional evenings, weekends, and holidays as business needs require.Success MeasuresAccurate and timely completion of administrative responsibilities.Payroll and scheduling accuracy.Effective hiring and onboarding support.Compliance with recordkeeping and confidentiality standards.Positive support of store leadership and associates.Consistent execution of company administrative processes and procedures.We also provide a variety of benefits including:Competitive wages paid weeklyAccess to up to 50% of your earned wages before payday, via our partnership with StreamAssociate discountsHealth and financial well-being benefits for eligible associates (Medical, Dental, 401k and more!)Time off (vacation, holidays, sick pay).
