Role Overview: We are looking for a proactive, organized, and dependable Administrative & Office Coordinator to help keep our day-to-day Nashville office operations running smoothly while providing administrative support to the Manager of People & Executive Operations. This role is ideal for someone who enjoys creating order, anticipating needs, and making sure the details are handled. The right person will be resourceful, service-oriented, comfortable working independently, and willing to jump in wherever needed to support the team.
Responsibilities
Office & Administrative Operations: Manage day-to-day office operations, including supplies, vendors, maintenance needs, deliveries, parking, and workplace services. Coordinate mail, shipping, document processing, check deposits, filing, and recordkeeping. Maintain organized office spaces, storage areas, supplies, and company inventory. Provide administrative support, including scheduling, research, document preparation, reservations, and special projects.
Employee & Team Support: Support new-hire onboarding and employee offboarding logistics, including workspace preparation, office access, parking, and swag. Assist with employee and team needs to help create an organized, welcoming, and positive workplace experience. Coordinate office lunches, hotel accommodations, meetings, and other team logistics as needed.
Events, Swag & Company Support: Assist with company events, team gatherings, offsites, and other employee activities. Manage company and new-hire swag inventory, ordering, distribution, and shipping. Partner with Marketing to coordinate conference and event materials, including shipping and returns.
Operational Support:
  • Maintain administrative trackers, vendor information, office documentation, and operational processes.
  • Proactively identify administrative and office needs and follow through to resolution.
  • Handle confidential employee, executive, financial, and company information with discretion.
  • Support additional administrative, People, and Executive Operations priorities as business needs evolve.

Compensation and Benefits:
  • Competitive salary $55,000 - $70,000 based on relevant experience

Growth and development opportunities within the role and in the organization This is a full-time, hybrid position in our Nashville office with standard working hours of 8:00 AM–5:00 PM. The Administrative & Office Coordinator is expected to work from the Nashville office four days per week, with Fridays generally worked remotely. The individual will be responsible to briefly come into the office on Fridays to check and process mail, checks, and other time-sensitive items as needed. Additional flexibility may occasionally be required for company events, deliveries, meetings, or other business needs.
