Job Opportunity: Office Manager / Executive Director for a Local Law Firm
Position Overview: The Office Manager / Executive Director manages all business, administrative, and operational aspects of the firm, excluding the practice of law. This position directs human resources, firm administration, accounting, information technology, and general office operations. The role reports directly to the Managing Partner and oversees one direct report (an accounting assistant dedicated to invoicing).
Key Responsibilities: Finance & Accounting Financial Oversight: Manage day-to-day financial operations, budgeting, cash flow, and financial reporting. Supervision: Direct the accounting assistant on invoicing, billing, accounts receivable, and accounts payable. Vendor Management: Oversee vendor contracts, purchasing, and firm expenditures. Human Resources & Administration Personnel Management: Manage recruitment, onboarding, benefits administration, and payroll processing for support staff. Policy Implementation: Maintain and enforce the employee handbook, compliance standards, and workplace policies. Support: Act as the primary point of contact for staff inquiries and personnel matters. Office Operations & ITFacilities Management: Oversee day-to-day office operations, office space maintenance, and supply inventory. Technology Infrastructure: Coordinate with external IT consultants or vendors to manage hardware, software, cybersecurity, and tech systems. Systems Optimization: Maintain and improve administrative workflows, filing systems, and data management. Reporting Structure Direct Supervisor: Managing Partner Direct Reports: Accounting Assistant (Invoicing focus)
Qualifications
Experience: Proven experience as an Office Manager, Legal Administrator, Executive Director, or Business Manager, preferably within a law firm or professional services environment.
Financial Skills: Strong understanding of accounting principles, billing workflows, and financial reporting. Leadership: Ability to operate independently to manage operations and supervise administrative staff. Communication: Discretion and communication skills necessary for reporting directly to leadership.
