Monday - Friday, 8:00 am - 5:00 pm Description
This position serves as the first point of contact for callers, visitors and deliveries while providing essential support to staff and client services. This position ensures calls, referrals, mail, faxes, materials, and office tasks are handled accurately, promptly, and confidentially.
Essential Duties and Responsibilities:
Operate a multi-line telephone system; answer incoming calls professionally, route calls to the appropriate staff member, take accurate messages, and relay them promptly.
Receive referral information, complete referral forms accurately, and send completed forms to the Program Manager for assignment to the appropriate staff member.
Assist with preparation and distribution of mailings for support groups and client-service programs.
Process incoming and outgoing mail, including sorting, distributing, preparing, and mailing correspondence and materials receive, sign for, and promptly deliver packages to the appropriate staff members.
Download incoming faxes and distribute them securely to the appropriate staff members.
Print braille documents, labels, and other accessible materials as requested.
Order, organize, and maintain brochures, outreach materials, and supplies for field staff, job fairs, health fairs, and community events.
Maintain orderly reception, mail, supply, and records areas.
Perform shredding and other routine clerical, administrative, and miscellaneous office duties as assigned.
Handle client, referral, and organizational information with discretion and in accordance with confidentiality requirements.
