Role Description:
The Administrative Assistant is a full-time, on-site role based in Modesto, CA. This position supports the firm by managing calendars, scheduling meetings, organizing documents, and maintaining accurate records. Daily responsibilities include answering and directing phone calls, greeting visitors, handling incoming and outgoing mail, and preparing correspondence and basic reports. The role also involves coordinating client appointments, assisting with file management and data entry, and ensuring that office supplies and resources are well maintained. The Administrative Assistant collaborates closely with team members to support efficient office operations and a professional client experience.
Qualifications:
Strong Administrative Assistance and Clerical Skills to manage scheduling, document organization, data entry, and general office support.
Professional Phone Etiquette and Communication skills to interact effectively with clients, colleagues, and external partners.
Experience with Executive Administrative Assistance to support leadership with calendar management, meeting preparation, and follow-up tasks.
Proficiency with office software (e.g., Microsoft Office or similar tools) and basic knowledge of document management systems.
Excellent attention to detail, organization, and time management, with the ability to handle multiple priorities in a fast-paced environment.
Ability to maintain confidentiality and demonstrate integrity when handling sensitive client and firm information.
Customer service mindset and a professional, courteous demeanor in all interactions.
High school diploma or equivalent required; additional training or coursework in business, accounting, or office administration is a plus.
Prior experience in a professional service, financial, or accounting environment is beneficial but not required.
