About the role
Commercial Operations Manager Serve as the key liaison between Sales, Project Management, and Accounting, ensuring quoted work is accurately translated into contracts, executed, and billed correctly. Review sales estimates, proposals, and customer requirements and convert them into clear contract scopes, billing terms, and deliverables. Partner closely with Project Managers to ensure work performed aligns with the contracted scope and that all billable activity is captured. Oversee Work-in-Progress (WIP) and Percentage-of-Completion (POC) reporting, ensuring project progress and financial activity are accurately reflected. Prepare, review, and administer customer contracts, including customer-specific, government, ferry, and specialized agreements. Manage change orders from preparation through customer approval, ensuring pricing, scope, and project billing remain aligned. Own the end-to-end customer invoicing process, validating invoices against contracts, change orders, POs, labor, materials, and project milestones. Work with Accounting to identify and resolve billing discrepancies, coding issues, AR concerns, and payment requirements. Review subcontractor invoices, purchase orders, timecards, and costs to ensure they are authorized and consistent with customer-approved work. Partner with Project Managers and Sales to identify scope changes, missed billings, cost overruns, and other items that could impact project profitability. Maintain accurate contract, project, change order, and billing documentation from contract execution through project completion. Serve as the go-to resource for commercial and financial questions between Sales, Operations/Project Management, and Accounting. Communicate directly with customers regarding contracts, change orders, invoices, documentation, and payment requirements. Help improve contract administration, billing, and project financial processes while providing guidance and oversight to one employee.
Qualifications:
5+ years of experience in contract administration, accounting/finance, project administration, sales operations, or a related role.
Strong understanding of WIP, POC, project accounting, invoicing, contracts, change orders, and financial controls.
Bachelor's degree in Accounting, Finance, Business, or related field preferred.
