About the role

We are seeking a detail-oriented, highly organized Operations & Sales Administrator to support our growing commercial and industrial equipment team. In this foundational role, you will assist business development and operational teams with daily office administration, accounting assistance, travel coordination, event planning, and general sales/facility support.If you are a proactive multi-tasker eager to keep our day-to-day business operations running smoothly, we’d love to speak with you.  Key ResponsibilitiesDaily Office Administration: Greet visitors, answer and route main office calls, sort and distribute mail/packages, order office and breakroom supplies, and maintain a clean, organized office environment.Business Travel Management: Coordinate and book travel itineraries (flights, hotels, rental cars, and ground transportation) for executive team members, sales personnel, and international guests.Accounting & Bookkeeping Assistance: Support the accounting team with expense report auditing, collecting receipts, data entry into the general ledger, invoice processing, and tracking vendor accounts payable/receivable.Event Support & Coordination: Assist in planning, setting up, and executing corporate events, trade shows, distributor meetings, team dinners, and office gatherings (including catering, vendor setup, and venue logistics).Sales & Order Support: Assist Account Executives with processing sales orders, preparing equipment quotes, drafting proposals, and issuing customer invoices.CRM & Record Maintenance: Maintain client databases, update sales pipelines, and file documentation in CRM software (e.g., Salesforce, HubSpot).Customer & Vendor Liaison: Field general customer inquiries, assist with delivery updates, and serve as a point of contact for building management and local vendors.Miscellaneous Duties: Execute special administrative projects, run occasional local errands, and provide cross-departmental admin support as needed.  QualificationsExperience: 2 years of experience in office administration, administrative support, bookkeeper support, or operations roles.Education: High school diploma required; Associate or Bachelor’s degree in Business, Accounting, or related field preferred.Technical Skills: Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint); basic knowledge of accounting software (e.g., QuickBooks) and CRM software (e.g., Salesforce/HubSpot) is a plus.Organization & Accuracy: Exceptional organizational, budgeting/math, and multitasking skills with high attention to detail in receipt and document management.Communication: Professional, polished verbal and written communication skills.Reliability: Dependable, punctual, and adaptable to assisting across different departments. What We OfferCompetitive Salary: Base salary with opportunities for performance bonuses.Benefits: Comprehensive health, dental, and vision insurance options.Growth: Hands-on experience across finance, travel operations, event management, and commercial business administration.Perks: Paid time off (PTO), 401(k) matching, and team building events. How to Apply If you are an ambitious administrative professional ready to support our day-to-day operations and business growth, submit your resume today!
