Administrative AssistantAlliance Industries, Inc. Marietta, OhioAlliance Industries, Inc. is seeking a highly motivated and detail-oriented Administrative Assistant to join our administrative team. The ideal candidate is a proactive, organized professional who enjoys supporting a fast-paced office environment and can work independently. This individual will demonstrate exceptional communication skills, sound judgment, professionalism, and the ability to maintain strict confidentiality while supporting executive leadership and various departments throughout the organization.Essential Duties and ResponsibilitiesResponsibilities include, but are not limited to:Provide administrative support to executive leadership and various departments.Answer and direct incoming telephone calls using a multi-line phone system.Greet visitors, clients, and vendors in a professional and welcoming manner.Maintain office security by monitoring visitor logs and following established procedures.Coordinate incoming and outgoing communications, including mail, email, deliveries, and correspondence.Prepare, edit, format, proofread, and distribute letters, reports, presentations, spreadsheets, and other business documents.Assist with preparing presentation materials, reports, and research projects.Conduct internet research using scholarly, business, and industry resources to support organizational initiatives.Maintain electronic and paper filing systems, records, databases, and historical documents.Organize and prioritize multiple assignments while meeting deadlines.Receive, sort, distribute, and process incoming and outgoing mail and packages.Serve as the point of contact for deliveries and visitors.Perform general office duties including copying, scanning, filing, typing, data entry, and document management.Run interoffice errands and assist with special projects as assigned.Maintain confidentiality of sensitive company information, documents, and communications.QualificationsHigh school diploma or equivalent required.Valid driver's license with a good driving record.Minimum of 24 years of administrative, office support, administrative assistant, or related experience preferred.Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams.Excellent written and verbal communication skills with strong grammar, spelling, and proofreading abilities.Strong organizational, time management, and multitasking skills.Exceptional attention to detail and accuracy.Ability to prioritize competing responsibilities in a fast-paced environment.Strong interpersonal and customer service skills with the ability to interact professionally with employees, executives, clients, and visitors.
