About the role
The Newcastle Search Group is conducting a confidential search on behalf of an established law firm for an experienced Legal Biller to join its accounting/finance team. This is a full-time, hybrid opportunity in Chicago, IL, offering the opportunity to work with an established legal organization and collaborate closely with attorneys, practice groups, accounting, and clients.
POSITION OVERVIEW:
The Legal Biller will be responsible for the preparation, review, and submission of attorney and client invoices, ensuring accuracy and compliance with client billing guidelines. This individual will work closely with attorneys, practice groups, accounting, and clients to resolve billing questions and ensure invoices are issued accurately and timely. The ideal candidate will have hands-on experience with legal billing, electronic billing platforms, client billing guidelines, and complex invoice preparation.
KEY RESPONSIBILITIES:
Prepare, review, and process monthly attorney and client invoices for assigned practice groups and clients. Ensure invoices accurately reflect attorney time, expenses, disbursements, adjustments, write-offs, and other billing activity. Review billing reports and attorney time entries for accuracy, completeness, and compliance with client requirements. Submit invoices through various electronic billing/e-billing platforms and monitor submission status. Research and resolve rejected invoices, billing discrepancies, and client inquiries. Work directly with attorneys and administrative teams to obtain approvals, corrections, and missing information. Interpret and follow detailed client billing guidelines and outside counsel requirements. Process invoice adjustments, transfers, write-offs, credits, and re-bills as appropriate. Assist with month-end billing deadlines and special billing requests. Maintain accurate billing records and documentation. Partner with Accounts Receivable/Collections to address outstanding billing issues and assist with client account resolution. Communicate professionally with attorneys, clients, and internal stakeholders regarding billing matters. Identify billing issues and recommend process improvements to increase accuracy and efficiency. QUALIFICATIONS3+ years of legal billing experience, preferably within a law firm or professional-services environment. Strong understanding of attorney timekeeping, expense billing, invoice preparation, and client billing requirements. Experience with electronic billing/e-billing platforms and complex client billing guidelines. Experience with legal accounting/billing systems such as Elite 3E, Aderant, or similar platforms strongly preferred. Strong Excel skills and comfort working with billing reports and large amounts of financial data. Exceptional attention to detail and accuracy. Strong organizational and time-management skills with the ability to manage multiple deadlines. Professional written and verbal communication skills. Ability to work effectively with attorneys, clients, accounting professionals, and administrative teams. Ability to work independently while also contributing effectively within a collaborative accounting team.
