Junior Project Assistant (Entry-Level)
Position Overview:
We are seeking a motivated and detail-oriented Junior Project Assistant to join our team and support the successful execution of projects across the organization. This is an entry-level position ideal for a recent graduate or someone early in their career who is interested in project management, operations, administration, or business coordination. The Junior Project Assistant will play a critical role in keeping projects organized and on track by maintaining schedules, tracking deliverables, coordinating communications, updating documentation, and following up on outstanding tasks. This individual will serve as the central point for project administration, helping ensure that deadlines are met and that nothing falls through the cracks. The ideal candidate is highly organized, proactive, eager to learn, and comfortable working with multiple teams in a fast-paced environment. Success in this role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities simultaneously.
Key Responsibilities
Project Tracking & Coordination:
Maintain project schedules, trackers, and action item logs.
Monitor project timelines and ensure deadlines are communicated and tracked.
Follow up with team members regarding outstanding tasks and deliverables.
Assist project managers with day-to-day coordination activities.
Track project progress and report status updates to project stakeholders.
Help identify potential delays and escalate issues when necessary.
Documentation & Reporting:
Create, organize, and maintain project documentation and files.
Update project plans, reports, spreadsheets, and status trackers.
Prepare weekly and monthly project updates.
Document meeting discussions, decisions, and action items.
Ensure all project records are accurate, organized, and up to date.
Assist with data collection and reporting for project metrics and KPIs.
Meeting & Communication Support:
Schedule meetings and coordinate calendars for project teams.
Prepare meeting agendas and distribute meeting materials.
Record and distribute meeting minutes and action items.
Facilitate communication between departments and project stakeholders.
Ensure all team members are informed of project updates and deadlines.
Respond to project-related inquiries and provide administrative support.
Administrative Support:
Assist with project-related administrative tasks and general office duties.
Maintain project databases and shared files.
Perform data entry and verify accuracy of information.
Support project onboarding activities for new team members.
Help coordinate vendor, client, or stakeholder communications as needed.
Assist with special projects and other duties assigned by leadership.
Required Qualifications:
High school diploma required; Associate's or Bachelor's degree preferred.0-2 years of professional experience in an administrative, coordinator, or support role.
Recent graduates are encouraged to apply.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Strong attention to detail and accuracy.
Ability to prioritize tasks and meet deadlines.
Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
