We are seeking a highly motivated Front Desk Receptionist to serve as the welcoming face of our office and provide essential administrative support.
About the Role: As the Front Desk Receptionist, you will be the first point of contact for visitors, clients, and employees, setting the tone for a professional and welcoming office environment. This role involves managing daily office operations, coordinating meetings, handling communications, and assisting with administrative tasks. The ideal candidate is organized, detail-oriented, and thrives in a fast-paced setting where multitasking is essential.
Key Responsibilities: • Serve as the first point of contact, creating a professional and welcoming atmosphere for guests and staff.• Answer and direct phone calls, emails, and other correspondence efficiently.• Maintain the organization, cleanliness, and stocking of the front desk, supply areas, and kitchens.• Manage conference room scheduling and coordinate meetings and office activities.• Monitor and track office expenses, costs, and supply inventory.• Update and maintain records and files to ensure accuracy and accessibility.• Prepare, process, and coordinate outgoing marketing materials, corporate correspondence, and other company mailings, ensuring timely delivery through USPS, Fed Ex, Pitney Bowes, and other shipping carriers.• Handle special projects and administrative tasks as needed.
Qualifications: • 1-3 years of receptionist, administrative, customer service, or related experience preferred.• Strong customer service orientation with excellent interpersonal skills.• Exceptional verbal and written communication skills.• Highly organized, self-motivated, and able to manage multiple priorities.• Proficient in Microsoft Office Suite, including Outlook, Excel, and Teams.• Ability to adapt to a dynamic work environment and take initiative.• Trustworthy, professional, and capable of handling confidential information.
