By tracking data, generating reports and coordinating follow-up activities, this position helps streamline processes, enhance cross-functional collaboration and ensure the timely execution of critical business initiatives.Responsibilities will include the following:Maintain operational calendars, logs, and follow-up tools to help staff and leaders stay organized and meet deadlines.Support SharePoint file management, including organizing folders, maintaining shared documents, updating templates and helping staff find the information they need.Coordinate basic technology and systems support by tracking requests, gathering needed information, routing issues to the appropriate person or vendor and following up until items are resolved.Support data tracking, KPI collection, evaluation activities and routine reporting by organizing information, checking for missing items and preparing updates for review.Help maintain clear documentation, including procedures, checklists, workflow guides and other tools that make routine work easier to follow.Support onboarding, training and other approved staff process logistics by preparing materials and tracking completion.Assist with meeting and project coordination, including agendas, notes, reminders, document sharing, timelines and follow-up on action items.Review assigned administrative requests, forms, files and submissions for completeness and follow up with staff.Maintain organized records and shared resources.You bring an associate degree in business, office or nonprofit administration, information systems, public administration, human services administration, or a related field. A combination of education, training and relevant work experience may be considered in place of a degree.Your background includes 23 years of experience in administrative support, operations support, office coordination, project coordination, nonprofit administration or a similar role.Your experience includes supporting data collection, reporting, evaluation activities or KPI tracking.You thrive in nonprofit, community-based, human services, youth-serving or other mission-driven environments.You possess a solid understanding of administrative systems, file organization, shared document management and routine office processes.You demonstrate a basic knowledge of data tracking, reporting support and reviewing information for completeness and accuracy.You are familiar with onboarding, training, process follow-up and internal communication support.You leverage Microsoft 365, SharePoint, Teams, Outlook and Excel to organize information and support day-to-day operations.You adapt quickly to new systems and enjoy helping staff navigate tools, files, forms and processes.You are able and willing to maintain current CPR, First Aid, AED, and BBP certifications. (For new hires, training will be provided during onboarding.)Preferably, you have a valid driver's license, access to reliable transportation, and the ability to meet V3 Sports' driving record requirements.
