We deliver and manage marketing technology projects for our clients from end to end - our consultant teams, led and managed by Sarvay, plan, build, and run solutions across the marketing automation and MarTech platforms that power modern marketing operations.Position SummaryThe Administrative & Operations Coordinator provides comprehensive administrative and operational support to Sarvay's leadership and consulting team. This role serves as a central hub for the company, managing financial administration, consultant coordination, recruiting support, documentation, compliance, and reporting across functional areas.This position is based on-site at our East Brunswick, NJ office.The role requires a high degree of independence, sound judgment, and the ability to manage complex priorities in a fast-paced environment, while handling sensitive financial and personnel information with discretion.Position ResponsibilitiesAdministrative & Operational SupportServe as the internal operational point of contact for the team, supporting leadership, consultants, and vendorsExercise independent judgment in prioritizing operational needs and resolving day-to-day issuesManage administrative workflows, correspondence, and scheduling in support of company leadershipMaintain electronic filing systems and company records in shared repositoriesHandle confidential financial, personnel, and client information with discretionConsultant OperationsFacilitate the onboarding, ongoing administration, and offboarding of consultants, including equipment, access, documentation, and announcementsConduct weekly internal check-ins with active consultants and document outcomes and action itemsCollect, review, and reconcile timesheetsBuild and maintain internal policies and the consultant handbookRecruiting & Talent CoordinationSource and screen MarTech consultant candidates to build and maintain a current talent pipelineCoordinate interview scheduling and candidate communicationsMaintain candidate and consultant databases in the ATS/CRM, ensuring data integrityDocumentation & ComplianceDraft, proofread, and maintain SOPs, workflow guides, and business documentsManage compliance requirements, including insurance tracking and Certificates of Insurance (COIs)Administer SOW paperwork and maintain accurate, current engagement and consultant recordsAssist with company reporting requirements as the business growsSystems, Data & ReportingUtilize and maintain the company's internal systems (ATS/CRM, project tracking, document management) for administrative functionsCompile and prepare data, dashboards, and reports for leadership decision-makingMaintain and improve administrative processes and reporting workflowsSkills & CompetenciesExperience with process documentation, data reporting, or multi-entity administrative supportStrong organizational, multitasking, and time-management skillsExcellent written and verbal communication skillsAbility to work independently and exercise sound judgmentProficiency with Google Workspace and/or Microsoft Office; aptitude for learning business systems quicklyExposure to consulting, professional services, or marketing technology environmentsDemonstrated ability to handle confidential information professionallyPayroll, HR, or bookkeeping experienceScope & Working RelationshipsThis role works closely with company leadership, active consultants, candidates, clients' administrative contacts, and external vendors. The position operates with a high level of autonomy and serves as a key coordinator of the company's internal operational functions, without direct supervisory responsibilities.As Sarvay grows, the scope of this role is expected to grow with it, with the opportunity to take on broader operational responsibility over time.
