Position Summary:
We are seeking a highly organized and professional Receptionist to support the day-to-day administrative operations of our Sales department within a luxury automotive dealership. This position is ideal for someone who enjoys providing exceptional customer service, greeting guests, managing phone communications, data entry, and keeping the front desk and administrative operations running smoothly. The role focuses on creating a welcoming first impression for clients and visitors while providing administrative support to the Sales team and ensuring an exceptional customer experience.
Key Responsibilities
Front Desk & Customer Service:
Greet and welcome clients and visitors in a friendly, professional, and enthusiastic manner.
Serve as the first point of contact for customers, providing exceptional customer service and creating a positive first impression.
Manage a multi-line phone system, directing calls to the appropriate Sales team members while maintaining excellent phone etiquette.
Answer customer inquiries and assist with directing customers to the appropriate Sales representative.
Maintain a professional, organized, and welcoming reception area.
Communicate professionally with customers, guests, Sales team members, and management.
Sales & Administrative Support:
Perform accurate data entry across dealership systems, spreadsheets, and customer databases.
Assist the Sales team with administrative and clerical tasks.
Maintain organized customer records, paperwork, files, and other Sales department documentation.
Type correspondence, reports, memos, and other documents as needed.
Assist with incoming and outgoing correspondence, including emails and packages.
Provide administrative support to the Sales team to help ensure daily operations run efficiently.
Assist with special projects and other administrative duties as assigned.
Office Operations:
Ensure front desk and office supplies are adequately stocked.
Maintain organized filing systems and Sales department records.
Assist with scanning, copying, filing, and other general office duties.
Collaborate with the Sales team to improve workflow efficiency and enhance the customer experience.
Qualifications:
RequiredHigh school diploma or equivalent.
Minimum of 2 years of previous experience in a receptionist, front desk, administrative, or customer service role preferred.
Strong computer literacy with experience in data entry and clerical tasks.
Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
Excellent verbal and written communication skills.
Strong organizational skills with exceptional attention to detail.
Strong typing skills with an emphasis on accuracy.
