Position Overview:
The Procurement & Dispatch Coordinator supports purchasing, order execution, pricing, and customer account management across multiple markets and distribution centers. Working closely with sales, logistics, accounting, customers, and vendors, this role helps maintain order accuracy, resolve issues promptly, and support informed purchasing decisions. This position may require travel up to 15%.
Key Responsibilities:
Develop procurement and replenishment strategies for multiple customers, markets, and distribution centers using industry expertise and customer- and vendor-specific knowledge.
Support procurement and sales teams in making purchasing decisions based on commodity-market conditions, product availability, and pricing.
Manage daily order processing for strategic customers and maintain accurate, timely order and account records.
Analyze operational data and translate findings into clear, actionable updates for internal teams.
Process product passings, confirmations, customer requests, and pricing-related files accurately and on schedule.
Maintain free on board (FOB) pricing and coordinate pricing updates as needed.
Respond to vendor and customer inquiries, identify discrepancies, and coordinate timely resolution before issues affect customers or deliveries.
Partner with accounting to resolve losses, credits, and customer account reconciliations.
Coordinate with sales, logistics, and accounting teams to support accurate account management, uninterrupted product flow, and effective issue resolution.
Required Qualifications:
Relevant experience in procurement, order management, logistics, customer account management, or a related operational function.
Professional, prompt, and polished written and verbal communication skills.
Strong negotiation and relationship-building skills.
Proficiency with data entry, business systems, and spreadsheet-based analysis, with the ability to learn new systems and processes.
Ability to identify and resolve problems independently using sound judgment.
Demonstrated accuracy, thoroughness, and dependability in a fast-paced environment.
Ability to manage priorities independently, collaborate effectively, and follow issues through resolution.
Ability to thrive in an entrepreneurial environment with evolving priorities and processes.
Ability and willingness to travel up to 15%.
Preferred Qualifications:
Experience in produce, food distribution, logistics, commodities, or a related industry.
Bachelor’s degree or equivalent relevant professional experience.
