About the role
Office Support Specialist To work in a front-line position in the office serving as the point of contact for customers delivering outstanding service in a fast-paced office environment. In this position the Office Support Specialist will handle diverse customer inquiries and requests, supporting daily office operations and contributing to the cooperative's success. Key Responsibilities Administrative Assist in administrative duties: answering phone calls, providing counter sales and customer service Communicate and build great relationships with all employees and customers Perform billing of CFE products and transfers Perform truck scale, grain probing, and grading procedures when needed Assist with grain contracts, settlements, reporting, and enter contracts for producers Assist with day and month end reconciliation & process Process accounts receivable (AR) payments Receive and verify products against purchase orders (POs) Help to complete monthly inventory of all location products Develop and maintain in-depth knowledge of location-specific processes, procedures, and offerings to confidently answer customer questions and resolve their concerns. Credit Enforce and uphold the cooperative's credit policy Make credit terms known to all employees and customers Collaborate with Credit department and management for customer transactions Reporting Inform your supervisor of discrepancies in your reports as soon as you are aware of them Inform your supervisor of potential problems or potential new business opportunities directly or indirectly related to your department Report any unsafe equipment or working conditions to your supervisor Report any needed repairs or special maintenance to your supervisor immediately Safety and Compliance Uphold cooperative policies Follow and comply with all laws and regulations both State and Federal Attend employee safety meetings, etc. held as required or scheduled in conjunction with Safety Director or location as required Other Duties Perform other duties as assigned by management Collaboratively work with location, departmental personnel Attitude consistently mirrors the company image and promotes fellow employee teamwork Present a professional image through words, actions, and personal appearance Skills & Abilities High School Diploma, GED or equivalent combination of education and experience Knowledge of administrative/inventory procedures and systems Excellent written and verbal communication skills, ability to communicate clearly and professionally A strong customer service orientation with the ability to handle inquiries and resolve issues effectively Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software Strong organizational skills and the ability to prioritize tasks, manage time effectively, and meet deadlines Accuracy and attention to detail in all work performed Ability to identify and resolve problems efficiently and effectively Flexibility and adaptability to changing priorities and tasks Ability to work effectively as part of a team Professional demeanor and appearance Experience with maintaining accurate records and filing systems Willingness to flex schedule in accordance with work that needs to be done at the location, including seasonal increases
